As a result of our continuous growth, a vacancy has arisen for an Office Administrator to form part of its growing and successful team.
The overall purpose of the office administrator is to ensure the smooth and efficient operation of the office and workplace. The office administrator plays a critical role in managing the day-to-day administrative tasks and providing essential support to the organization and its employees, whilst keeping a positive attitude and excellent working environment.
The company’s products relate to Internet of Things applications, including GPS vehicle and fleet tracking services, level and distance monitoring of tanks, temperature and humidity control applications, on-street parking management, and others.
The products and services are targeted towards both the local and international markets, to businesses, software integrators, consumers, and government entities.
The suitable candidate should:
Be resident in Malta and hold a car driving license;
A high school diploma or equivalent work experience in a similar role;
Possess excellent communication and listening skills, a positive attitude, and keeps a positive vibe;
Competence in using Microsoft Office programs, and other computer skills.
Main Duties and Responsibilities
Office Management: Overseeing the day-to-day operations of the office, ensuring a well-organized and efficient work environment. Managing and procuring of office supplies, equipment, and facilities to ensure they are well-maintained and adequately stocked.
Communication Management: Handling incoming and outgoing correspondence, including emails, phone calls, and postal mail. Serving as a point of contact for internal and external communications, relaying messages to the appropriate individuals. To welcome and assist guests/new employees and guide them to the appropriate contact.
Scheduling and Calendar Management: Coordinating appointments, meetings, and events for the office and staff members.
Financial Tasks: Invoicing and billing, including preparing invoices, and following up on overdue accounts.
Customer Service: Interacting with customers or clients, providing information, support, and assistance as required. Maintaining a positive and professional image when dealing with external stakeholders.
Event Planning: Assisting in the planning and coordination of office events, meetings, and conferences.
Interpersonal Skills: Building and maintaining positive relationships with colleagues and external contacts. Serving as a helpful and approachable resource for staff.
Policy and Procedure Implementation: Ensuring that office policies and procedures are adhered to and helping develop or update them as necessary. Communicating and enforcing office policies among staff.
